Why material goes missing on construction sites

Materials are often the biggest cost on a construction project, and the hardest to keep track of. Deliveries are noted on paper at the gate, usage is guessed at the end of the month, and stock moves between stores without anyone writing it down.

By the time someone compares the bills with what's actually in the store, nobody can say whether the gap is short deliveries, wastage, theft or just missing entries. Material tracking fixes that by recording each movement when it happens.

Everything you need to track materials on site

Goods received at the gate

Record every delivery: what, how much, where it's stored, the supplier, challan or invoice number and vehicle number. Note anything rejected and why.

Log usage and transfers

Record what was used, and move stock between your own stores - each move is logged at both ends.

Stock by location

See what's allocated, used, returned and remaining at every store, building or floor - and what's running low.

Physical stock checks

Count what's really in a store and compare it with the books, item by item. Correct the stock to match, with the difference kept in the history.

"Where did it go?"

For each material: what was there at the start, what came in, what was turned away, used and sent back - and what's in stock now.

Low stock and requests

Set a low-stock level per material and see at a glance what needs reordering. Anyone on site can raise a request; the people who approve it are notified straight away.

From "we're running low" to a purchase order

  1. 1A site engineer raises a material request - what, how much and where it's needed.
  2. 2Whoever approves requests on that project is notified, and approves, rejects or fulfils it in one click. The requester hears back either way.
  3. 3Head office bundles approved requests from every project into one purchase order per vendor.
  4. 4When the delivery arrives, it's marked received - and everyone who asked is told.

Frequently asked questions

What is construction material tracking?

Recording every movement of material on a construction project - deliveries received, material used, transfers between stores and stock counts - so you always know what's in stock at each location and can explain any difference.

Can I record the challan and vehicle number of each delivery?

Yes. Each goods-received entry records the supplier, challan or invoice number and vehicle number, plus any quantity rejected and the reason.

Can I track stock separately for each store or floor?

Yes. Stock is tracked per location - a store, a building or a floor - and you can transfer material between locations.

How do I find out where material went missing?

Run a stock check to compare the books with a physical count, and use "Where did it go?" to see, for each material, what came in, what was used, what was sent back and what should be in stock.

How much does it cost?
